A good massage leaves a client relaxed and lighter, and the paperwork should not undo that feeling. At the same time, many clients need a proper receipt: to claim sessions from a health savings account, a flexible spending account, or insurance, or simply to track their wellness spending. This Massage Therapy Invoice Template does both. It is calm and airy, with a soft sage band down the right edge, a lotus at the top, and a stack of smooth, balanced river stones at the bottom, and it carries the provider details that HSA and FSA administrators look for.

For Massage Therapists, Day Spas and Wellness Studios

It suits licensed massage therapists, mobile massage services, day spas, sports massage clinics, prenatal massage specialists, reflexologists, and wellness studios. The sample shows Still Water Massage & Wellness invoicing a client for April: two deep tissue sessions, a hot stone massage, an aromatherapy add-on, and a jar of carnival muscle rub.

Stones, a Lotus and Plenty of Space

A pale sage band runs down the right edge of the ivory page. What an HSA or FSA Receipt Should Show

Massage is not automatically eligible for tax-advantaged health accounts; it usually needs to treat a specific medical condition, often supported by a letter of medical necessity. When it is eligible, administrators look for these details, all of which this invoice can carry:

Products and gratuity are usually not eligible, which is why they appear on separate lines.

Treatments, Products and Gratuity

The totals separate what was paid for treatment from everything else: $345.00 in treatments, $24.00 in products, $1.68 in sales tax on the product, and a $50 gratuity, for a total of $420.68. Keeping them apart makes the invoice easier to use for health account claims and simpler for your bookkeeping.

Editing the Session Table

The session list and totals are editor tables. Double-click them or open Edit Table Data to enter each session, and change the number of rows with + Add Row and – Remove Last. Figures are typed text, so add up the treatments and products and update the totals yourself.

Self-Care Notes

The self-care note carries your advice home with the client: stretches, hydration, heat or ice, and the date of the next appointment. It is a gentle way to reboot, and clients who follow your suggestions feel the benefit for longer.

Adjusting the Calm Palette

The sage band and the stone stack are separate objects, so you can change the band to blush, lavender, or soft blue and recolor the stones to match. The lotus is an editable vector from the library; a leaf or a single candle would also suit a spa. Keep the colors soft and the spacing generous; the calm look is the point.

Paper and Email Receipts

This invoice is set up on 8.5 x 11-inch paper. Many therapists email monthly invoices for regular clients and print single-visit receipts at the front desk. An ivory or natural paper matches the page color and feels more like a spa than an office.

Packages, Memberships and Gift Cards
