The Payment Schedule
Venue bookings are paid in installments, and the schedule table on the invoice shows each one with its due date, amount, and status. In the sample, the total of $9,523.00 (charges of $8,900.00 plus 7% sales tax) was split into a 50% deposit at booking, a 25% payment in July and a final balance of $2,380.75 due a month before the event. Update the status column as payments arrive; the totals show the amount already paid and the remaining balance.
Security Deposits Explained
A refundable security deposit protects the venue against damage or overtime and is returned after the event if the space is left as found. Because it is refundable, it is usually shown in a note rather than in the charges. The sample holds $1,000 and promises its return within fourteen days, and also reminds the couple that vendors must finish load-out by midnight.

Keeping earlier versions on file, each with its own number, makes it easy to explain any change if the couple asks.
