Most roof replacements are paid for, at least in part, by an insurance company after hail or wind damage. That makes roofing invoices different from almost any other trade: they have to satisfy the homeowner, the insurance adjuster, and sometimes a mortgage company at the same time. This Roofing Invoice Template is designed for that three-way conversation, with a strip for the claim details, pricing by the roofing square, and a clear explanation of what the homeowner still owes after insurance has paid.

For Roofers, Storm Restoration Crews and Exterior Contractors

It suits residential roofing companies, storm restoration contractors, gutter and siding installers who also roof, and general contractors who handle roof replacements. The sample shows Summit Peak Roofing billing a homeowner in Plano, Texas, for a 28-square architectural shingle roof after a March hailstorm, including tear-off, underlay, ice and water shield, drip edge, a ridge vent upgrade, flashing, and the dumpster and permit.

Shingles, a Copper Gutter and a Photo of the Finished Roof

The header is drawn as a section of roof: seven rows of slate-gray shingles, each row offset by half a shingle and varied slightly in tone, just like a real architectural shingle roof. A white card with a soft shadow sits on the shingles, holding ROOFING INVOICE in tall Anton capitals, the company name and license number in copper, and the contact details. On the right, a photo slot framed in white shows the finished roof. Along the bottom edge of the shingles runs a copper gutter with a downspout and elbow on the right. At the foot of the page, the same copper gutter line sits over one more row of shingles.

In the body, the homeowner block sits beside the invoice number, completion date, and due date. Two strips follow: the roof system details (type, squares, pitch, tear-off and warranty) and the insurance claim details (carrier, claim number, adjuster, date of loss and deductible). The line items table, a note explaining the balance, the totals, and the homeowner’s signature complete the page.

How Insurance Money Flows on a Roof Claim

Homeowners are often confused about why they owe anything when insurance is paying for the roof. This breakdown, using the sample figures, is worth sharing:

ItemWho paysSample amount
Contract total for the new roofAgreed with the homeowner$12,916.50
Insurance payments (including released depreciation)Insurance carrier$11,579.00
DeductibleHomeowner, by law in most states$1,000.00
Upgrades not covered by the claimHomeowner$337.50 (ridge vent)
Balance due on this invoiceHomeowner$1,337.50

Many states prohibit contractors from waiving or absorbing the deductible, so show it clearly rather than hiding it in the price.

Pricing by the Square

Roofers measure in squares: one square is 100 square feet of roof surface.  Tear-off, shingles, and underlay are priced per square, while drip edge and ridge vent are priced per linear foot, and flashing and disposal are priced as lots. Using the same units as the adjuster’s estimate makes it far easier for the carrier to approve supplements and release depreciation.

Adding the Roof Photo

The framed slot in the header is a picture placeholder. Click it and choose Replace Image to upload a photo of the finished roof, ideally taken from the street on a sunny day. The frame keeps its size and white border. Adjusters and homeowners both appreciate seeing the result, and the photo becomes part of your project record.

Updating the Line Items

The items list, both strips and the totals, are editor tables. Double-click any of them to edit its text, or use Edit Table Data with + Add Row and – Remove Last to change the number of lines. Nothing inside the tables is calculated automatically, so multiply each quantity by its rate, total the contract, and update the insurance and balance lines by hand, checking them against the carrier’s paperwork.

Warranties Worth Stating

A roof comes with two warranties: the manufacturer’s warranty on the shingles and your workmanship warranty on the installation. The roof system strip records both, as 30-yr mfr · 10-yr labor in the sample. Mention in the note that the warranty certificate is enclosed, and register the manufacturer warranty on the homeowner’s behalf if the manufacturer allows it.

Changing the Shingle Color and Copper

The shingles are grouped, so the whole roof section can be moved or resized as one. If your brand colors are warmer, recolor a few shingles in brown or weathered wood tones, or change the copper gutter to black or white, the most common gutter colors. The white card and photo slot sit above the shingles, so they stay clickable.

Printing for the Homeowner and the Carrier

This layout fits a standard 8.5 by 11-inch page. Send a PDF to the homeowner and, when requested, to the insurance carrier or mortgage company along with photos and the certificate of completion. For a signed paper copy, print on plain white paper; the dark shingle header prints best on a laser printer.

Mortgage Company Endorsements

When a home has a mortgage, the insurance check is often made out to both the homeowner and the lender, and the lender may hold the money until the work is inspected. Keep your invoice, completion photos, and signed certificate ready to send to the lender’s loss draft department, and put the claim and loan numbers on everything. A tidy paper trail can shorten the wait for the final payment by weeks.

Storm Season and Door-Knocking Skepticism

After a big hailstorm, homeowners are approached by many contractors, some of whom disappear once the insurance money arrives. A professional invoice with your license number, a local address, the claim details, and a clear warranty helps you stand apart. Encourage homeowners to call their carrier to confirm the claim figures, and never ask for full payment before the work is done.

Roofing Invoice FAQs

Can I use this invoice for a job without insurance?

Yes. Delete the insurance strip and the insurance line in the totals, and show any deposit instead.

What is released depreciation?

Many policies first pay the roof’s depreciated value and release the rest after the work is completed and invoiced.

How do I bill a supplement approved later?

Add the supplement items as new rows, note the supplement number, and update the contract total and insurance payments.
