Rent is due every month, and so are the small charges that come with it: water, trash, parking, pet rent. Many landlords collect rent without any paperwork at all, which works until a tenant disputes a charge, a bank asks for proof of income, or tax season arrives. A monthly rent invoice solves all of that. This Rent Invoice Template gives landlords and property managers a clean, official-looking document with the lease details, each charge, and the payment instructions in one place.

For Landlords, Property Managers and Room Rentals

Individual landlords with one or two units, small property management companies, owners of duplexes and fourplexes, people renting a room, and managers of storage units or commercial spaces can all use it. The sample shows Oakridge Property Management billing Daniel and Sofia Alvarez, tenants of unit 3B at 740 Lakeview Avenue in Minneapolis, for December rent, water and sewer, trash and recycling, a reserved parking space and pet rent for one cat.

Under One Roof: The Design

The header is shaped like the front of a house. A deep navy gable rises to a peak in the middle of the page, with a chimney on the right slope and a thin gold line tracing the roofline. A gold house key hangs beneath the peak, and RENT INVOICE is centred below it in white Merriweather capitals, with the management company’s name, phone, and email underneath. At the foot of the page, a navy band carries a row of little rooftops, a smaller echo of the header, so the invoice feels like one building from top to bottom.

In the body, the tenant block sits on the left and the invoice number, invoice date, rent period, and due date on the right. A strip records the property address, the unit, the lease term, and the security deposit held. The charges table has three columns: Description, Period and Amount. A How to Pay box, with a gold heading, sits beside the totals: current charges, previous balance, and the highlighted amount due.

Late Fees: Set Them Out Clearly

Late fees are only enforceable if they are in the lease and allowed by local law, and they work best when tenants see them every month. A clear schedule avoids arguments. For example:

Many states cap late fees or set a minimum grace period, so check your local rules before copying these figures. The sample invoice notes a $75 fee after the 5th.

Separating Rent From Other Charges

List rent on its own line and every other charge separately, each with its period. Utilities are often billed a month behind, which is why the sample shows water and sewer for October 15 to November 14 while the rent covers December. Separating them helps tenants understand the bill, helps you track income by type, and helps when a charge like parking ends mid-lease.

Why the Lease Strip Is Useful

Showing the lease term and the security deposit held on every invoice reminds both sides of the arrangement. Tenants can see when their lease ends and plan a renewal conversation; landlords have a written record of the deposit, which matters when it is returned at the end of the tenancy.

Updating Charges Each Month

Duplicate last month’s invoice, change the invoice number, dates, and rent period, and update any variable charges like water. The charges list is a real table: double-click it or click Edit Table Data, and use + Add Row or – Remove Last when a charge starts or stops. The cells hold typed text, so add up the charges yourself and enter the total, carrying over any unpaid amount as the previous balance.

Customising the House, Key and Colours

The roofline, chimney and gold line are grouped into one object, so they move and recolour together. The gold key is an editable vector with its own colour swatch; swap it for a building or door icon from the library if you manage apartments or offices. Navy and gold feel established and trustworthy, but a forest green or burgundy works just as well with gold.

Sending Rent Invoices

The page is US Letter, 8.5 by 11 inches. Email a PDF around ten days before rent is due, or slip a printed copy under the door if your tenants prefer paper. Keep a copy of every invoice and note the date each payment arrives; this becomes your rent ledger for taxes and for any future dispute.

Proof of Payment for Tenants

Tenants sometimes need proof of rent paid for a mortgage application, a benefits claim or a tax credit. When a payment arrives, you can duplicate the invoice, change the Amount Due row to Paid in full, Dec 1, 2026, and send it as a receipt. It takes a minute and builds goodwill with good tenants.

Security Deposits, Move-Outs and the Final Invoice

At the end of a tenancy, the invoice can double as a deposit statement. List the final month’s prorated rent and any utilities still owed, then add the security deposit as a credit and itemise any lawful deductions, such as cleaning or repairs beyond normal wear and tear, with a short description of each. If the result is in the tenant’s favour, show it as Refund due to tenant and send it with the payment. Many states set a deadline for returning deposits, often between fourteen and thirty days, so check yours and keep a dated copy.
