A consultancy’s invoice lands on the desk of a finance director, a chief executive, or a board. It should read with the same authority as your reports: measured, precise, and unmistakably professional. This Consulting Invoice Template, set on A4 paper, pairs charcoal with a restrained antique gold, and adds something most invoices lack: a retainer summary that shows the hours included, the hours used and the overage being billed.

Suited to Consultancies and Professional Advisers

Management consultants, strategy and operations advisers, HR and change consultants, interim executives, financial advisers and specialist freelancers who work on retainer will find it a good fit. The sample shows Ashford & Wells Consulting invoicing Harlow Health Partners Ltd in London for an operations improvement programme: the October advisory retainer, six additional consulting hours, an on-site workshop at a clinic in Leeds and travel and accommodation at cost.

Monogram, Rising Bars and Cormorant Garamond

A thin gold band runs along the very top of the page. Beneath it, a gold-outlined circle holds the firm’s initials, AW, in charcoal Cormorant Garamond, beside the firm’s name and the line STRATEGY · OPERATIONS · GROWTH in widely spaced gold capitals. On the right, a small motif of four rising bars, the last one gold, with a charcoal trend line climbing across them, quietly suggests the results a consultancy delivers.

The word “Invoice” is set large in Cormorant Garamond with a short gold underline, and the invoice number, date, billing period and due date align on the right. Client and Engagement blocks follow; the engagement block carries the programme name, the client’s purchase order number and the lead consultant. A two-column Retainer Summary lists the monthly retainer, hours included, hours used and overage hours. The main table has a charcoal header with gold column names. Payment details (bank, sort code, account and VAT number) sit beside the totals, and an italic line thanks the client for their continued partnership. The gold band returns at the foot of the page.

How Retainer Overage Is Calculated

Retainers usually include a fixed number of hours each month, with extra hours billed at an agreed rate. Showing the calculation openly avoids queries from the client’s finance team. Using the sample figures:

If fewer hours are used than included, state whether they roll over. Most retainers are use it or lose it, but say so in your engagement letter and, ideally, in a note on the invoice.

VAT, Currency and UK Conventions

The sample is written for a UK firm: pounds sterling, dates written day-month-year, VAT at 20% and bank details with a sort code. If your consultancy is VAT-registered, your VAT number must appear on the invoice, and it does here in the payment details. Firms in other countries can change the currency symbols, the tax label (GST, sales tax), and the bank fields to suit. Keep expenses billed at cost clearly labelled, as clients often scrutinise them.

Changing the Monogram and Firm Details

The monogram is plain text inside a gold circle, so type your own initials and adjust the size if you have three letters. If you prefer to use your logo, delete the initials and place your logo image inside the circle, or replace the whole monogram. The rising-bars motif is grouped; recolour it or remove it if your practice is not growth-focused, though most clients read it simply as progress.

Working With the Tables

The retainer summary, the fees table, the totals and the payment details are all editor tables. Double-click any of them to edit their text, or use Edit Table Data from the side panel, with + Add Row and – Remove Last to adjust the number of lines. The cells are plain text and do not calculate, so work out the overage, subtotal, VAT and total due on a calculator or spreadsheet and enter the figures by hand. Checking that the overage line in the fees table matches the summary above is a sensible final step.

Describing Consulting Work to a Finance Team

Finance teams approve invoices they can match to a purchase order and an engagement. Put the PO number in the Engagement block, name the period (October 2026), and describe each fee line so it corresponds to your statement of work. For workshops and site visits, add the location. For expenses, attach receipts to the email when the client requires them.

Chasing Late Payment Without Damaging the Relationship

Consulting relationships are long, so collections need a light touch. A week before the due date, a short note confirming the invoice has been received and approved catches problems early. If payment is late, call the client’s accounts payable contact rather than your sponsor, and quote the invoice number and PO. In the UK, businesses may claim statutory interest on late commercial payments; mentioning your terms politely is usually enough to prompt payment without invoking it.

A4 Printing and Filing

The template is A4 (210 x 297 mm), the standard in the UK, Europe and most of the world. Send it as a PDF; many organisations now accept only electronic invoices. If you print for your own files, a good-quality 100 gsm white paper suits the understated charcoal and gold. The thin gold bands at top and bottom run to the page edge, so expect a small white margin on most office printers.
