When a painting job is finished, the homeowner walks through a house that looks completely different, and the last thing they should have to puzzle over is the bill. A good painting invoice explains the work room by room, shows how each area was measured and priced, and records the exact colors used so touch-ups years later are easy. Built for Painting Contractors and Decorators
Residential painters, painting and decorating firms, handymen who specialize in painting, cabinet refinish, drywall and paint crews, and exterior painters can all use it. The sample shows TrueCoat Painting Co. billing the Kowalski family for walls and a ceiling in the living and dining area, the hallway and stairs, trim and baseboards throughout, six interior doors, and a refinished front door.
Wet Paint Running Down the Header
A deep teal band fills the top of the page, and from its lower edge paint drips run down in different lengths, some ending in a round droplet, exactly as if the color had just been rolled on. In the top-right corner, a paint roller with a pale teal cover and a black handle rests against the band. Painting Invoice is set in white Lexend, with the company name, services, and license number, and a contact line in soft mint.
Under the header, the customer block and the invoice number, completion date, and due date line up. Then comes a row of four swatch chips labeled Paint colors used, each with a color name and where it went: walls in eggshell, ceilings in flat, the front door in satin, and trim in semi-gloss. The work table follows with Area, Work, Qty, Rate, and Amount columns. How the Walls Were Measured

Trim is usually priced per linear foot and doors per door, which is why the table mixes units. The six lines add up to $2,571.50 in labor.
Recording Paint Colors for the Homeowner
Months later, when a chair scuffs the hallway, the homeowner will want to know exactly which paint to buy. The swatch row answers that forever. Click each chip to change its fill to the real color, then edit the name and the finish beneath it. If you used more than four colors, duplicate a chip; if you used fewer, delete the extras. Many painters also write the brand and color code in the name line.
Labor, Materials and the Deposit
The totals keep labor and materials separate, which helps customers compare your price with other quotes and helps you track paint costs across jobs. The sample adds $486.40 in paint and materials to the labor, subtracts a $1,000 deposit taken when the job was booked, and leaves a balance of $2,057.90. If you include materials in your square-foot rate, delete the materials line and say so in the table.
Editing the Room Table
The work list is a real table in the editor. Double-click it, or click Edit Table Data in the side panel, to type your rooms, the work done, and the quantities with their units. + Add Row adds more rooms, and – Remove Last trims unused lines. Remember that the cells hold ordinary text: when you change a quantity or a rate, work out the new amount and update the labor total and balance yourself.
Prep Work Deserves a Line of Its Own
Most of the time on a good paint job goes into preparation: patching, sanding, caulking, priming, and masking. Customers rarely see it, so name it in the Work column (Walls: patch, sand, 2 coats) or, on heavily damaged walls, add a separate prep line. It explains why your price is higher than a quick-coat competitor and why your finish looks better.
Recoloring the Drips and the Fan Deck
The teal band and its drips are grouped, so select the group and change its color to your brand color in one step; navy, burgundy, or charcoal drips look just as striking. The roller is a small group of shapes that can be recolored to match. The footer fan deck is also one group; recolor its chips as a gradient from your main color to your accent.
Paper, PDF and the Job Folder
The template is sized for US Letter paper. A PDF sent the evening the job wraps up keeps the teal crisp on screen. For a printed copy left on the kitchen counter, plain white paper works, and the drips will run to the top edge on printers that support borderless printing. Keep a copy in the job folder with photos of the finished rooms.
Exterior Jobs and Weather Days
Exterior painting brings its own details: siding type, number of stories, pressure washing, and weather delays. Add lines for pressure washing and scraping, note the siding material in the Work column, and use the touch-up note to record the date the final coat went on. Many painters also mention how long to wait before hanging decorations or shutters back on freshly painted surfaces.
Warranty on Paint Work
Many painters offer a one- or two-year warranty against peeling and blistering caused by poor workmanship. Write it in the touch-up note or add a line below the table. The warranty should exclude damage from moisture problems, impacts, or cleaning with harsh products, which are outside your control.
