A wedding planner’s work stretches over a year or more, and so do the payments. Couples pay a retainer to book, installments along the way, and a final payment before the day, often with extra services added as plans grow. The invoice should show where they are in the journey as well as what they owe. It suits full-service wedding planners, day-of and month-of coordinators, destination wedding specialists, venue coordinators who sell planning packages, and event studios that plan anniversaries and vow renewals. The sample shows Rose & Vow Weddings invoicing a couple for the third of four package installments, plus rehearsal-dinner coordination, welcome bag assembly, and an assistant coordinator for the day.

The Planning Timeline in the Sidebar

A soft blush column runs down the left side of the page. At the top, a white circle holds a pair of gold wedding rings, with THE PLAN spaced out beneath. Couples compare planners by package, so it helps to describe yours the same way on every quote and invoice:

Package Installments and Status

The package payments table lists each installment with its due date, amount, and status: booking retainer and six-month payment paid, this invoice due, and the final payment due two weeks before the wedding. In the sample, each installment is $1,650, and this invoice also includes extra services, making $2,800.00 due. Showing all four installments on every invoice gives the couple a clear picture of what has been paid and what remains.

Extra Services Beyond the Package

Weddings grow. Couples add a rehearsal dinner, welcome bags for out-of-town guests, a second coordinator or an after-party. List each addition as its own line with quantity and rate, as the sample does for 140 welcome bags at $2.50 and ten assistant hours at $35. Agree extras in writing first, then invoice them with the next installment.

Vendor Payments vs Planner Fees

Couples often assume the planner’s invoice includes the florist, caterer, and band. Usually it doesn’t: vendors bill the couple directly, and the planner’s invoice covers only the planning fee and services. The note beside the totals says so plainly. If you do pay vendors on the couple’s behalf, list each vendor payment separately and attach the vendor’s invoice.

Updating the Timeline for Each Couple

The milestone labels and descriptions are ordinary text, so adapt them to each wedding: an eight-month engagement might start at 8 months. The line and dots are a single group; move a dot or change its color to show where the couple is today, for example, coloring the completed milestones mauve and the upcoming ones blush.

Editing the Services and Installments Tables

The wedding strip, services table, package payments and totals are editor tables. Double-click them or use Edit Table Data to change their contents, and add or remove lines with + Add Row and – Remove Last. The amounts are typed rather than calculated, so add up each invoice by hand and update the status column as payments arrive.

Changing the Blush and Mauve Palette

Blush and mauve suit romantic, classic weddings. For a modern couple, try sage and charcoal; for a coastal wedding, pale blue and navy. Change the sidebar color, the timeline line and dots, the table headers, and the Amount Due row together. The rings are an editable vector that can be recolored from its swatches or replaced with a bouquet or champagne glasses from the library.

Sending Invoices to Couples

This invoice is formatted for letter-size paper. Email it with a warm note and a reminder of the next milestone, such as the menu tasting date. Many couples share invoices with parents who are contributing, so a polished, clear page matters.

Contracts, Cancellations and Date Changes

Your contract should explain what happens to installments if a wedding is postponed or canceled. Most planners keep the retainer and transfer other payments to a new date within a set period. Refer to the contract clause in your covering email whenever you invoice after a change of plans, so there is no misunderstanding.

Destination Weddings and Travel Costs

Planning a wedding in another city or country adds travel, accommodation, and sometimes a local coordinator. Bill travel as its own line, either at cost or as an agreed flat fee, and note any currency conversions. Couples appreciate seeing travel separated from the planning fee.
