Rental car bills are famous for surprises: a fuel charge the renter didn’t expect, an airport fee they had never heard of, an extra driver they forgot they had added. A clear rental invoice avoids that by showing exactly how the car went out and came back, and listing each charge with its units and rate. This Car Rental Invoice Template starts with the two readings that settle most arguments, fuel level and mileage, shown as a pair of dashboard gauges with odometer displays.

It suits independent car rental agencies, dealership loaner and rental programs, van and truck rental companies, luxury and exotic car rentals, and hosts who rent cars through peer-to-peer platforms and need their own paperwork. A Dashboard at the Top of the Page

The header is a dark navy dashboard. On the right, two fuel gauges sit side by side, each a semicircle of tick marks with a red empty mark and a green needle. The Sample Rental

Four days at $64 with unlimited miles, the collision damage waiver, an additional driver, 3.2 gallons of fuel service, toll pass usage, and the airport concession fee come to $461.36. County rental tax at 12% adds $55.36, for $516.72 charged to the renter’s card; the $200 deposit hold is released. The vehicle-return note records that the car came back early with no new damage but below full, which explains the fuel line.

Setting the Gauges

The gauges are grouped shapes. To show a different fuel level, select the needle inside the gauge group and rotate it: pointing left is empty, straight up is half, pointing right is full. The odometer readings and labels are plain text above and below the gauges, so type the actual miles. Fuel and mileage are the two facts most often disputed, so record them at the counter, not from memory.

Editing the Rental Charges Table

The vehicle strip, charges table, and totals are editor tables. Double-click to type or use Edit Table Data, and use + Add Row or – Remove Last to change the number of charges. Units and rates are typed values, so calculate each amount, the tax, and the total yourself and check them against the rental agreement.

Damage, Tolls and Tickets After Return

Some charges arrive after the rental ends, such as toll bills or parking tickets. Invoice them separately, referencing the agreement number, with a copy of the toll or ticket notice and any admin fee stated in your terms. For damage found at return, photograph it with the renter present if possible and note it on the invoice before they sign.

Recoloring the Dashboard Header

The dark dashboard suits most rental brands. Change the green accents to your brand color, for example orange or red, and replace the agency name and location. The yellow lane markings in the footer are a group that can be recolored white for a more subdued look.

Handing the Invoice Over at Return

This invoice is sized for 8.5 x 11 inch paper. Print a copy at return for the renter to sign and email the PDF to their address on file. Business renters often need the PDF for expense reports, so send it the same day.

Long-Term and Replacement Rentals

Insurance replacement rentals and monthly rentals follow the same format with different rates. For insurance claims, add the claim number and the insurer as the payer in the renter block, show the daily rate the insurer approved, and bill any difference or extras to the renter separately.

Walk-Around Inspections

The ten minutes spent walking around the car with the renter at pickup and return prevent most damage disputes. Mark existing scratches and dents on a diagram, take time-stamped photos of all four sides, the wheels and the windscreen, and record the fuel and mileage. If the car comes back with new damage, the photos show exactly what changed and when.
