A locksmith is often called at the worst possible moment: locked out at night, keys lost, a break-in to repair. The customer is relieved when you arrive and wants the problem solved quickly, but the paperwork still matters. It should record when you were called and when you arrived, how you verified that the customer had the right to enter, what you did, and what hardware you installed. A Brass Key Across a Navy Header

The header is a deep navy band, and across its lower half lies an oversize brass key: a round bow on the right, a short shoulder, a long blade with a groove down its center and a row of cut teeth of different depths, ending in a pointed tip on the left. The body starts with the customer block and the invoice number, service date, and payment status. What a Responsible Locksmith Checks Before Opening a Door

Customers sometimes feel awkward being asked for ID when they are locked out of their own home. Explaining why helps. A careful locksmith will usually:

  • Ask for photo ID and compare the address with the service address.
  • Accept a lease, utility bill, or mail addressed to the customer when the ID shows an old address.
  • Ask the customer to sign an authorization for entry before work starts.
  • Refuse, or call the landlord or police, when ownership cannot be confirmed.
  • Record all of this on the invoice, as the checklist does.

Several states require locksmiths to keep such records, and they protect you if an entry is ever questioned.

Recording Call and Arrival Times

Emergency call-outs are priced by time of day, and customers compare your arrival time with the one you promised on the phone. The service call strip records both, along with the completion time. If you charge after-hours rates, as the sample does for a call received at 9:42 PM, the times on the invoice justify it.

Service, Hardware and Tax

The table lists labor and hardware together, while the totals separate them: $264.00 in service and labor, $172.00 in hardware and keys, and $12.04 in sales tax charged only on the hardware, for a total of $448.04 paid by card. Keeping hardware separate makes the tax calculation simple and shows the customer what they paid for the lock itself.

Editing the Tables and Checklist

The service call strip, the services and hardware list, and the totals are editor tables. Double-click to change them, or click Edit Table Data, and add or remove lines with + Add Row and – Remove Last. The figures are typed text, so recalculate totals whenever you change a price. Each checklist line is a tick box with a text label; edit the wording to match your own verification process, or clear a tick if a step did not apply.

Key Records and Master Key Systems

The “Keys issued” note records how many keys you cut and reminds the customer that old keys no longer work. For businesses with master key systems, use this area to note the keyway, the number of keys issued to each person, and whether keys are stamped Do not duplicate. Good key records make the next re-key quicker and more secure.

Recoloring the Key

The key is a single group made of simple shapes, so it can be moved, resized, or recolored in one step. Silver on black, gold on burgundy, or brass on forest green all work well. The navy header and footer are ordinary rectangles, easy to switch to your brand color.

Printing in the Van

The page is set up for 8.5 x 11-inch letter paper. Many locksmiths print on a mobile printer in the van and have the customer sign on the spot; others email a PDF before leaving. The navy band is ink-heavy, so a thermal or mobile inkjet printer may show it lighter, which is fine.

Automotive Lockouts and Car Keys

Car jobs need different details: the vehicle’s year, make, and model, the VIN, and whether you cut and programmed a transponder key or remote. Replace the property column in the service strip with the vehicle, list key blanks and programming as separate lines, and check proof of ownership against the registration rather than a utility bill.

Quoting Before You Drive

Complaints about locksmiths usually come from a low quote on the phone followed by a much higher bill at the door. Give a realistic price range when the customer calls, including the service call and any after-hours charge, and make sure the invoice matches it. If the job turns out to be different, such as a high-security lock that must be drilled, explain the new price before starting and note the customer’s approval.
